How to use a gratuity calculator and get a figure you can rely on

A gratuity calculator does simple arithmetic. When the answer is wrong, the cause is nearly always what went into the boxes. Ten minutes of preparation is usually the difference between a rough guess and a figure that matches HR's to the dirham.

Have three documents open first

  • Your registered employment contract. This is the one filed with MOHRE, which you can view in the MOHRE app. It shows your basic salary and your start date as the ministry has them.
  • Your most recent payslip. It shows your basic salary today, which may be higher than the contract if you have had a rise.
  • Your resignation acceptance or termination letter. It states your last working day in writing.

If the payslip and the contract disagree on basic salary, note both. You will want to know which one HR uses.

The five inputs people get wrong

1. Typing the total salary

The number that lands in your account each month is your total pay. Gratuity is calculated on the basic part only. If your package is AED 9,000 and the basic line is AED 5,400, the calculator needs 5,400. Entering 9,000 inflates the result by two thirds and sets you up for an argument you will lose.

2. Using the offer date or visa date as the start

Service starts on the day you actually began work. That can be weeks after you signed the offer and is rarely the date your residence visa was stamped. Use the start date on your contract unless you know you started on a different day.

3. Using the day you resigned as the end

Your last working day is the final day of your notice period. If you resigned on 1 March with 30 days' notice, the end date is 30 or 31 March, not 1 March. That extra month counts as service.

4. Forgetting unpaid leave

Days of unpaid absence are taken out of your service. If you took three months of unpaid leave during a five-year stretch, your employer will count four years and nine months. A calculator that only sees two dates cannot know that, so expect HR's figure to be slightly lower and be ready to check their day count.

5. Picking the wrong contract type

If your contract has an end date, it is a limited (fixed-term) contract. That covers almost everyone working in the UAE today. Choose unlimited only if you are checking service under an old open-ended contract that was never converted.

Read the breakdown, not only the total

Each of these has a simple question attached: which basic salary did you use, which dates, which rate, and what is this deduction for? Asked calmly and in writing, they are usually answered within a day.

Download your estimate and file it with your contract and payslips. If you later need to write to your employer or take the matter to MOHRE, you have dated working that shows exactly how you reached your number.

What a calculator cannot tell you

An online estimate is not a legal entitlement. It does not see deductions your employer may be allowed to make, and it does not cover the rest of your final settlement, such as unused leave or notice pay. Treat it as your own check on the gratuity line, which is exactly what it is good for.

Frequently asked questions

Why is my employer's gratuity figure lower than the calculator's?

The usual reasons are a lower basic salary on record, unpaid leave taken out of your service, or a different last working day. Ask for the calculation in writing and compare it line by line.

Can I use a gratuity calculator while I am still employed?

Yes. Enter today's date or your planned last day as the end date to see what you have built up so far. Nothing is payable until the job actually ends.

Is an online gratuity estimate legally binding?

No. It is a guide. The final amount is set by the law, your contract and your employer's records.
